Artzone Terms & Conditions
These Terms and Conditions apply to all Artzone classes, camps, workshops and events attended by students and booked by, or with the consent of, a parent or guardian.
Artzone reserves the right to amend these Terms and Conditions from time to time where reasonably necessary. The latest version will be made available through Artzone's website or booking system.
1. Minimum Age
Artzone programmes are intended for children attending Primary and Secondary School only.
Artzone teachers are not trained in the care of preschool children, and Artzone operates in accordance with policies, procedures and guidelines designed for Primary and Secondary School-aged participants. Our courses and portfolios are based on the Primary School Visual Arts Curriculum and are designed accordingly.
If a booking is made for a child who does not meet the minimum age requirements, the parent or guardian may request a full refund up to and including the first day of the relevant class or camp. Artzone reserves the right to monitor bookings and take appropriate action where age requirements are not met.
2. Medical Information
Participants attend Artzone activities at the parent or guardian's own risk.
Parents and guardians must inform Artzone of any significant medical conditions, allergies, additional needs, disabilities, behavioural support requirements, or any other circumstances that may affect a child's participation.
3. Additional Medical Support Needs
As an independent art school, Artzone recognises that some children may attend with additional medical support needs, including, but not limited to, severe allergies requiring adrenaline auto-injectors (EpiPens), diabetes management devices, and individual healthcare plans.
Artzone teachers are not medically trained professionals, and Artzone does not have the medical resources or supports available within state-funded schools. In accordance with our insurance requirements, staff cannot undertake medical procedures or provide medical care for conditions for which they have not received appropriate training.
Where a child requires medical support, supervision or intervention beyond the scope of staff training and responsibilities, Artzone may require that a suitably trained adult be present throughout the child's attendance. Any such arrangements must be discussed and agreed with Artzone in advance.
4. Additional Needs and Support Requirements
Artzone is committed to providing an inclusive and welcoming environment for all children.
To help us provide a safe and positive experience, parents and guardians must disclose, at the time of booking, any additional needs, disabilities, medical conditions, behavioural support requirements, allergies, communication needs, or other circumstances that may affect participation.
While Artzone staff are experienced in working with children, they are not specialist care providers and may not have the training, qualifications or staffing resources necessary to support all individual needs safely and appropriately.
Following consultation with the parent or guardian, Artzone may require a parent, guardian, carer, Special Needs Assistant (SNA), or other suitably designated adult to remain available, remain on site, or attend with the child where additional support or supervision is reasonably required.
Artzone reserves the right to decline or discontinue a booking where, despite reasonable efforts to accommodate a child, it considers that it cannot safely meet the child's needs or fulfil its safeguarding obligations to that child, its staff or other participants.
Information relating to a child's support needs will be treated confidentially and processed in accordance with applicable data protection legislation and Artzone's Privacy Policy.
5. Child Safeguarding
To help maintain a safe environment for children, adults who regularly participate in or attend Artzone classes, camps or events may be required to complete Garda Vetting.
Where Garda Vetting is required, Artzone will facilitate the process in accordance with Irish child safeguarding requirements.
6. Bookings, Fees and Payment
Class and camp dates, times, locations and fees are published on the Artzone website, booking system and promotional materials. These details will also be confirmed in the booking confirmation email.
A booking is confirmed only when:
- A completed booking application has been received by Artzone;
- The applicable fee has been paid; and
- Artzone has issued a booking confirmation email confirming the participant's place.
Upon issuance of the booking confirmation email, a contract is formed between Artzone and the parent or guardian for the relevant class, camp or event.
7. Payment Methods
Artzone accepts payment by:
- Credit Card
- Debit Card
- Electronic Funds Transfer (EFT)
- Cash
- Any other payment method specified by Artzone from time to time
No additional processing fees will be charged for standard card payments unless otherwise stated at the time of booking.
8. Cancellations, Refunds and Transfers
A full refund will be provided where a cancellation request is received at least five (5) working days before the commencement of the relevant class, camp or event.
For cancellations received fewer than five (5) working days before the start date, Artzone may, at its discretion, offer:
- A partial refund;
- A credit note or voucher for future Artzone activities; or
- A transfer to another class, camp or event.
Cancellation requests must be submitted in writing by email, text message, or any other written method accepted by Artzone.
9. Illness, Injury and Exceptional Circumstances
Where a participant is unable to attend due to illness, injury or other exceptional circumstances, Artzone will consider requests for a refund, transfer or credit note on a case-by-case basis.
Artzone may request reasonable supporting documentation where appropriate.
Where a participant leaves a class or camp due to illness or injury during the programme, any refund, transfer or credit will be offered at Artzone's discretion, taking into account the circumstances and the proportion of the programme already attended.
10. Re-enrolment
Artzone may offer simplified re-enrolment processes, including automatic re-enrolment opportunities for classes or camps where appropriate.
However, enrolment in one class, term or camp does not automatically guarantee a place in any future programme. Future enrolments remain subject to availability and may require a new booking application and payment unless otherwise expressly communicated by Artzone.
11. Student Conduct and Participation
Artzone aims to provide a safe, positive and enjoyable environment for all participants.
Artzone reserves the right to refuse, suspend or terminate attendance where a participant's conduct, behaviour, support needs or other circumstances lead Artzone to reasonably believe that it cannot safely or appropriately meet that participant's needs, or where the participant's behaviour negatively affects the safety, welfare or enjoyment of others.
Where practicable, Artzone will communicate any concerns to the parent or guardian before taking such action.
12. Changes to Programmes and Staffing
Artzone reserves the right to make reasonable changes to schedules, programmes, venues, lesson content, teaching staff or other arrangements where necessary.
Artzone will make reasonable efforts to notify parents and guardians of any significant changes as soon as practicable.
13. Emergency Contacts
Parents and guardians must provide at least two emergency contact telephone numbers when booking.
Artzone will contact a parent, guardian or emergency contact as soon as reasonably possible in the event of illness, injury, accident, safeguarding concerns or any other matter requiring parental involvement.
Personal information will be handled in accordance with applicable data protection legislation and Artzone's Privacy Policy.
14. Personal Property and Artwork
Participants are responsible for their own personal belongings, clothing, equipment and artwork brought to or created during Artzone activities.
While reasonable care will be taken, Artzone accepts no responsibility for loss, theft or damage to personal property except where such loss or damage arises directly from the negligence of Artzone.
15. Insurance and Liability
Artzone maintains appropriate insurance cover in respect of its activities.
Nothing in these Terms and Conditions excludes or limits any liability that cannot be excluded or limited by law.
Subject to the foregoing, Artzone's liability for any loss, damage or injury arising from participation in its classes, camps or activities shall be limited to losses directly resulting from the negligence of Artzone, its employees or authorised representatives.
Artzone shall not be liable for any indirect, consequential or unforeseeable loss arising from participation in its activities.
16. Collection of Children
Children must be collected promptly at the end of each class, camp or activity by a parent, guardian or authorised adult unless alternative arrangements have been agreed in advance.
Where a parent or guardian wishes an older child to leave unaccompanied, a completed and signed Permission to Leave Unaccompanied Form must be submitted in advance.
Artzone reserves the right to refuse any such request where it reasonably believes that allowing a child to leave unaccompanied may present a safety or welfare concern.
Once a child has been authorised to leave unaccompanied in accordance with the signed permission form, responsibility for the child transfers to the parent or guardian from the time the child leaves the Artzone venue.
17. Photography and Video Recording
Artzone may occasionally take photographs or video recordings during classes, camps, workshops and events for promotional, educational and archival purposes.
Artzone will not publish a child's full name alongside a photograph or video recording without the explicit consent of a parent or guardian.
Consent for photography and video recording will be obtained through the registration process or by separate consent form. Consent may be withdrawn at any time by contacting Artzone. Artzone will take reasonable steps to cease future use of the relevant images where practicable.
All photographs and video recordings will be collected, stored and processed in accordance with the General Data Protection Regulation (GDPR), the Data Protection Act 2018, and Artzone's Privacy Policy.
18. Marketing Communications and Data Protection
When booking with Artzone, parents and guardians may choose to opt in to receive marketing communications, including newsletters, eZines, text messages, information about classes, camps, events, special offers and other Artzone updates.
Artzone will only send marketing communications where consent has been provided or where otherwise permitted by applicable law.
Personal data will be processed in accordance with the General Data Protection Regulation (GDPR), the Data Protection Act 2018, and Artzone's Privacy Policy.
Consent may be withdrawn at any time by using the unsubscribe link in Artzone emails or by contacting Artzone by email, text message or other available means. Artzone will process such requests promptly and will cease using contact details for marketing purposes.
